Video & Web Conferencing Rates

Currently, the rates for use of the video conferencing rooms are below.  The rates are broken down to cover various groups of individuals.  Please scan the list and determine which group you would fall into and you will find the appropriate charges.  If you have any questions, please call 482-6418.

Media Services does provide a Conference Technician to open, setup, breakdown, conduct and close the rooms.  Generally, the rooms are available at least 30 minutes prior to the beginning of the scheduled start time.  It is the responsibility of the customer to provide the appropriate contact information for the remote video conferencing site.

In order to receive a refund of any partial payments, the cancelation must be received no later than 24 hours prior to the start time of the conference.  Cancellation anytime within the 24 hour window will result in forfeiture of all monies paid.

*The scheduling charge for this group is charged once per site per calendar year. 

**The scheduling charge for this group is applied each time a meeting is booked.

***The H.320 dialup charge is almost never a factor because most conferences are now H.323.  However, when applicable, the charge will be $1/minute; waived for local or LOS calls.

1One hour of setup/tear dwon added to the clock time, minimum one clock time, at 16 minutes another full hour is charged. 

Examples:

  • A one hour 10 minute live conferenceis billed for two hours, that is one hour of Conference Technician pre- and post-conference, plus one hour of conference...a total of two hours of the Conference Technician and one hour of the room rate.
  • A one hour 20 minute live conference is billed for three hours, that is one hour of Conference Technician pre- and post-conference, plus two hours of conference...a total of three hours of the Conference Technician and two hours of the room rate.

2Conference technician hourly charge is calcuated the same as the room charges.
